About the Client

One of our clients is a manufacturing organization with multiple branches across different cities, and they require a payroll system that fully complies with Indian statutory regulations while seamlessly managing attendance, shifts, and employee records across all locations.

In today’s industrial environment, every organization follows structured HR and recruitment policies. In Indian manufacturing units, payroll management is closely connected with attendance, shifts, leave, and statutory compliance.

Payroll goes beyond salary calculation—it includes attendance tracking (check-in/check-out), late arrivals, early exits, leave management, shift scheduling, overtime, and statutory deductions such as PF, ESI, PT, and LWF as per Indian labour laws.

JUPICAL APPROACH

When the client joined hands with Jupical Technologies, the objective was to replace manual and disconnected processes with a centralized, easy-to-use HRMS solution. Jupical implemented a streamlined system capable of managing the complete employee lifecycle, including HR operations, payroll, attendance, overtime, multi-shift management, leave, approvals, recruitment process, offboarding, and full & final settlement processes — all within a single integrated platform.

SOLUTION SCOPE

Hiring to Exit lifecycle – Attendance & Shift Management – Payroll Processing & Payslip Generation – Statutory Compliance Automation – Asset Management - Leave apporaval – Overtime Management – Full & Final Settlement

THE CHALLENGES FACED

n manufacturing companies, managing multiple shifts, overtime policies, and different workforce categories (permanent, contractual, and temporary) increases complexity. Companies must also comply with laws such as the Factories Act, Minimum Wages Act, Payment of Wages Act, and other state regulations.

Handling these processes manually is difficult and prone to errors, leading to payroll conflicts compliance risks, and conflicts between management and workers. Delays or inaccuracies in salary processing and statutory filings can cause serious operational issues.

Therefore, adopting an automated payroll and HR system is essential for manufacturing units in India to ensure accuracy, compliance, transparency, and smooth coordination.

Attendance Management Issues

Multiple shifts, overtime rotations, and biometric/manual attendance create inconsistencies. Tracking real-time attendance across shifts while ensuring accuracy for payroll is a major operational challenge.

Hiring to Exit Lifecycle

Manufacturing units often struggle with fragmented employee records, contract labor tracking, and high workforce turnover. Managing the entire lifecycle—from onboarding to exit—becomes complex without a centralized system, leading to data gaps and compliance risks.

Assest Management

Managing uniforms, tools, ID cards, laptops, mobile devices, and other employee assets manually is difficult, especially in multi-company organizations. Poor tracking can lead to lost assets, duplicate records, and misuse. During employee or worker offboarding, companies often face challenges in properly tracking and collecting assigned assets, resulting in financial loss and accountability issues.

Payslips and Statutory Compliance

Manufacturing payroll is complex due to overtime, incentives, shift allowances, and attendance variations, making manual processing prone to errors and delays. Managing compliance requirements like PF, ESI, PT, LWF, and TDS further increases the administrative burden and risk of non-compliances.

Time-Off and Leave Approval

The client faced challenges in managing employee time-off and leave approvals across multiple manufacturing companies. Manual tracking through Excel sheets caused conflicts, approval delays, and inconsistent records.

Offboarding & Full & Final Settlement Complexity

Final settlements were time-consuming and often inaccurate due to lack of integrated data (attendance, assets, dues).
