Timetable Management

Create, validate and lock class timetables per standard — define
lecture duration, start times, and give students portal access to their schedule.

How Timetable Management Works

The Timetable module allows administrators to build structured weekly class schedules for every standard and division. Each timetable defines the lecture duration, the first lecture start time, and assigns a faculty member to each subject slot for each day of the week (Monday to Saturday). Once the schedule is finalised, it is Validated to check for conflicts, then saved as the official timetable. Students and parents can view the timetable directly from the portal.

Step-by-Step Workflow

Timetable accessible from the + menu in the Education navigation bar — listed under Configuration

Timetable Form (1/A/2015-2016) — Standard 1, Division A, Duration: 1:00 hour, Start Time: 08:00. Monday tab showing Faculty, Subjects, From, To columns. Amit→Mathematics 08:00-09:00, Geeta→Science 09:00-10:00, Krisha→Hindi 10:00-11:00, Ram→English 11:00-12:00, Sita→Gujarati 12:00-13:00

Step 1 — Configure Subjects First

Go to Education → Configurations → Subjects. Ensure all subjects (Computer, Accounts, Mathematics, Data Structure, Science, Hindi, English, Gujarati etc.) are created with their subject category.

Step 2 — Create a New Timetable

Go to Education → Configurations → Timetable → New. The timetable name is auto-generated as Standard/Division/AcademicYear (e.g. 1/A/2015-2016).

Step 3 — Set Standard, Division and Academic Year

Select the Standard (e.g. 1), Division (e.g. A), and Academic Year (e.g. 2015-2016) for this timetable.

Step 4 — Set Duration and Start Time

Enter the Duration — how long each lecture lasts (e.g. 01:00 = 1 hour). Enter the Start Time — when the first lecture begins (e.g. 08:00). The system auto-calculates all subsequent lecture times.

Step 5 — Fill Subject Slots for Each Day

Click the Monday tab. For each period, click Add a Line. Select the Faculty and the Subject they will teach. The From and To times auto-fill based on duration. Repeat for Tuesday, Wednesday, Thursday, Friday, Saturday.

Step 6 — Validate

Click the Validate button. The timetable status changes from Draft to Validated. The system checks that no faculty member is double-booked at the same time.

Step 7 — Students View on Portal

Once validated, students and parents can see the complete timetable for their standard and division when they log into the portal.
