Library Management

Manage your school library end-to-end — book catalogue, member registrations, book issuance, 

returns, fine tracking and detailed reports — all inside your education ERP.​


How Library Management Works

The Library module is accessible from the Library tab in the top navigation. It contains four key sub-sections: BooksIssue BooksMemberships, and Reports.

Librarians can manage the entire catalogue of books with author, genre, language, and copy count details. When a student wants to borrow a book, the librarian creates an Issue Book record linking the student's profile to the book, with issue date and expected return date. Fine details are automatically captured if books are returned late or lost.

Membership records control how many books each student can issue at a time, and how long the membership is valid. From the Reports menu, librarians can print a Book Details Report or a Membership Details Report.


Books — List, Kanban & Form View — Manage the full book catalogue with author, genre, language, edition and copy count. The Library dropdown shows Books, Issue Books, Memberships and Reports sub-menus.



Authors Menu — Manage Book Authors

The Library menu includes an Authors sub-section where administrators can create and maintain author records with full contact details: name, publisher, phone, mobile, email, website link, and address.

Each author can be flagged as Individual, Company, or Author type. The author form also supports Sales & Purchase tabs and Internal Notes for additional reference data used when cataloguing books.



Issue Books — Track Every Borrow

The Issue Books form captures both student information (name, standard, division, roll number) and book information (issue date & time, return date) side by side. Add multiple books to a single issue record using the Books tab — each line shows book name, author, genre, language, and individual return date.

Once confirmed, status moves to Issued. The librarian can then mark it Returned, Lost, or Cancelled. A Print Issue Details XLS Report button is available directly on the form.



Memberships — Control Book Issue Limits

Every student borrowing books must have an active Membership record. The Membership form stores student name, class, division, roll number, email, issue book limit, and membership dates (start to end).

The Kanban view shows all members as cards with membership ID, student name, class, dates, and status. The status button cycles New → Active → Expire. Note: membership period must be at least 30 days.

Issue & Return Books

Create issue records for students with book info, issue date, return date, and status tracking — Draft → Issued → Returned → Lost → Cancel.

Fine Tracking

Record fine details automatically when books are returned late or reported lost. Fine Details and Fine Description tabs are built into every issue record.

Membership Detail Report

Print a full or per-member report showing membership period, issue limit, and current status — giving the librarian a real-time view of every account.

Book Details Report

Generate a book-wise report to analyse which titles are issued most frequently — helping the school decide when to purchase extra copies.
